Project Description

 

Development of the Employee Self-Service System (ESSS), a system that will house the repository containing the employee master data, which is the foundation for providing a common set of automated, integrated, platform-independent system solutions for Human Resources. This system would provide the capability for employees to maintain their own information regarding address and telephone number changes, beneficiary changes, United Way and other deductions.

 

 

 
Business Justification

 

Current practices of maintaining employee information such as address, telephone, and beneficiary data, and deductions have each of these changes being processed by an extensive manual effort. There is often a several day lag time before the employee’s information can be updated online once the employee submitted the forms. This causes several problems, including employees being unable to quickly locate other employees, company mailings being sent to the wrong addresses, payroll checks that cannot be delivered, paper-based company telephone books that are out of date almost as soon as they are printed, and less than ideal United Way contributions.

 

 

 

 

 

 

Assumptions

 

A1. Graphical User Interface will be consistent on all platforms.

A2. The system is expected to be deployed and be up and running at all 5 locations: Orlando, Denver, Sunnyvale, Marietta, and Valley Forge.

A3. The new system will not replace all legacy systems for the first 3 months after the deployment of ESSS and then would be phased out over the next 90 days.

A4. Employees could access ESSS from within the company intranet and via home computer via a secured network (VPN) .

 

Project Scope

 

The Employee Self Service System should be a centralized and single database that house all information pertaining to employees, accessible by the employee, their upper management and the Human Resources Department. This system would provide the capability for employees to maintain their own information regarding address and telephone number changes, beneficiary changes, United Way and other deductions.

 

FG1.

The system will allow employees to enter and update personnel information that includes: Employee addresses, Employee phone numbers, emergency contact information, and beneficiary information.

FG2.

The system will enable employees to enroll and elect deductions for United Way Charity.

FG3.

The system will provide management tool to review and monitor the contribution and participation levels of the employees in the United Way Charity.

FG4.

The printed employee directory will be replaced by intranet based online directory that will be driven by ESSS database.

The system should contain an online company telephone book, containing phone numbers and work locations.

The system will allow employees to view organization structure data.

FG5.

Only HR administrators and the employee’s manager would have access to the employee’s information, other than the employee.

 

 

 
Out of Scope

O1. For the first phase of the ESSS rollout the system will not allow employees to make elections to 401k, Medical Enrollment and Health Care Spending Contributions.

O2. ESSS would not be accessible via Mobile App.
